Room & Event Technology Reservations For Students

Booking Technology for Student Group and Journal Events

  1. Verify the availability of classroom technology for the room you wish to use.
  2. Make your room reservation at reservations.law.upenn.edu and indicate the technology you need. Add notes about anything you are not sure of.
  3. You may update your reservation at reservations.law.upenn.edu. If you are unable to update the reservation through reservations.law.upenn.edu you should contact Julie Colleluori jcollelu@law.upenn.edu to assist in updating media requests.
  4. Additionally, for large events please contact us to confirm the details of your request via email to itsmedia@law.upenn.edu or call our media line at 215-898-9570. For events on weekends please contact us a few weeks in advance so we can plan ITS technician staffing.

  5. Please check with all speakers prior to your event to inquire about their specific technology needs and obtain a recording permission waiver for each speaker if you plan on recording the event.
  6. We recommend trying to obtain speaker presentations prior to the event and can use your group’s Penn+Box to store the most up-to-date versions.

Booking Technology for Study Groups or Meetings

  4. To reserve a Biddle Law Library Study Room please see the Library’s online reservation system. A list of the technology available in these rooms are available here.

Standard Services Offered

Below is a general list of classroom technologies available:

  • PC or Laptop Projection with CD/DVD drive (All PCs have PowerPoint installed)
  • Document Camera Projection
  • Audio/Video Conferencing (please verify conferencing technology before choosing a room.)
  • Audio/Video Recording (recording permission waiver required for events)

Special Services Offered

Below is a list of services that may be arranged for special conferences, symposiums or guest speakers in rooms that do not have audio or video services available by default:

  • Video recording of event (recording permission waiver required)
    • Standard room camera recording
    • Custom video with videographer (two week advance notice needed)
  • Desktop panel microphones, podium microphones and wireless microphones
  • PowerPoint or video projection
  • WiFi Group Codes (needed for non-Penn attendees)
  • Streaming video to the another room or to web
  • Media Cart (Large mobile video displays with a laptop or computer)
  • Custom presentation with screens and projectors in the Levy Conference Hall

RSVP

To make an RSVP form, we recommend Qualtrics. If your group is a Public Interest Pro Bono Group then your Web Provider (person with login to the Content Management System) can also use the RSVP feature built into the web calendar.
