Save and access your files from any location.

  • Sync files between your office and home computers to work remotely.
  • Save your PowerPoint presentation and then display on a classroom computer.
  • Organize your files by folder.

Creating a Folder

  1. From the homepage, click on the “New” Button. Choose “New Folder”.

  1. A dialog window will appear. Give the folder a meaningful name and press “Okay”.

  1. Your new folder will now be available from your Penn+Box homepage.

Uploading a File

  1. From the Penn+Box homepage, click on the “Upload” button.

  1. Choose the desired file and click “Open”.
  2. Box will then ask you to confirm, press “Upload”.

  1. The file will then be displayed on your Penn+Box homepage.

Edit files using Box Edit

Edit files using Box Edit

  • Edit a file using the native app on your workstation (Word, Excel, PowerPoint, etc.)
  • Version control
  • Saves changes right to Box.

Using Box Edit

  1. Download and Install Box Edit
 
  1. Open document and click Edit. (If BoxEdit is not installed, you will be prompted to Download it)

  1. A window will appear asking if you want to lock the file. Check lock file to prevent others from accessing the file while you are editing it.
  2. The document will open in it’s native application if installed. Example: if you open a Word document, BoxEdit will launch the file in Word.
  3. When done making changes, save the document by using Ctrl+S or by using the save function in Word. This will trigger BoxEdit to upload the file back to box. This creates a new version of the file and makes the latest version the current one.

Using the Box Mobile App

  1. The Box App is a free download. Search for “Box”
  • The AppStore for iOS.
  • The Marketplace for Anroid OS.
  • Blackberry World for Blackberry.
 
  1. Before signing in to the mobile app, you must enable Single Sign-On (SSO) in your account settings on the Box Website
    • Click on the gear button next to your name then click “Account Settings”. 
    • In account settings under “Create an external password”, enter in your desired password. This will be the password you use to sign into the mobile application.

  1. Open the Box app on your mobile device and choose “More Login Options”

  1. Enter your email address without the “law” part. Example: username@upenn.edu

  1. Upon entering your @upenn.edu email, you will be promted to login with your PennKey. 
  2. After logging in, create a 4 digit pass code. You will be asked to enter this twice.

  1. You now have all of your Penn+Box files and folders available to you on the go.

Collaborate with other Box users (Penn+Box/Box)

  • Invite other Box users to collaborate on a folder with you.
  • You can specify the permission level for collaborators: 
    • Editors (default): can add, edit or delete the folder’s contents. 
    • Viewers: can only see the contents and cannot change them. 
  • When collaborating, we recommend locking a file before you edit it. Else, two people can be editing at the same time and two new versions will be created.
  • Track file versions.
  • Post and reply to comments for any file.
  • Conduct discussions around any folder.
  • Assign and manage tasks.
  • Configure your email notifications.

Set up a folder as a collaboration space

  1. Click Share next to the folder.

  1. Enter in the email addresses of the people you would like to collaborate with. 
  • Note: When adding other Penn+Box users, you need to use username@upenn.edu NOT @law.upenn.edu.

  1. The system will send them an email notification.
  • Note: When collaborating with Penn+Box users, they will not receive the notification unless they activated their Penn+Box account. The shared folder/files will be accessible to them once they activate/login.
 
  1. The folder will change from yellow to blue when the folder is shared. 
  2. All files and folders contained in the shared folder are accessible by the users collaborating on the main folder.

Share Files/Folders with a Non-Box User

  • Email a link to a file/folder. (Do not include password in email/with the link.)
  • Set a password and/or expiration date for your linked file.

Sharing a file

  1. From the homepage, click on the “Share” link of the file you want to share.

  1. A new menu will appear. Click on “Access”.
  • Note: To share with a non-box user, click on “Open”

  1. If desired, you can password protect your file. To do this, click on “Set Password” and enter a secure password.
  2. If desired, you can also set an expiration date for the link by clicking “Set Expiration”.

  1. Click on “Send” and type in the recipient’s email address. This person DOES NOT need to be a Box user to view or download the document.
  2. Click the “Send” button to email your link.
  • Note: As a reminder, do not include the password in the email message as it is not a secure practice.
