Room Requests and Event Planning

The Facilities Department is happy to assist in coordination of all events in the Penn Law buildings, that continue fostering legal education.   

Event Planning

Requesting Space:  
To assist in streamlining the process of calendaring and reserving rooms for the wonderful range of events at Penn Law, we request that all internal departments, groups, or individuals requesting space in the building use our Room Request/Event Planning System . This tool will allow you to provide information and request resources for your requested event. After your submission of the EMS Event Request Form, we will confirm your requested booking or reach out with any additional questions or suggestions.

Walk-Throughs:  
For events with setup requests, please schedule a walk-through with Facilities to discuss your event and the event needs. Walk-throughs should take place 2 weeks prior to the event. The walk-through should also include any other Penn Law service providers that are needed as well as the caterer if the event has food. Events that are co-sponsored by other University of Pennsylvania schools or outside organizations, a representative from that organization is also to attend the walk-through. Events involving external vendors, it is the event owner’s responsibility to have all necessary requests at the time of the walk-through. 


Student Events:  
Students hosting events on behalf of their student organization should submit a request for space in EMS as well as submit an event proposal to Student Affairs. Additional resources for student events can be found here

 

Caterers:  
Penn Law enjoys partnering with Penn approved PO caterers for events. Caterers are to attend all event walk-throughs, which occur 2 weeks prior to an event. At that time, logistics for the event will be discussed including setup requests, arrival time, rentals, etc. All logistics must be approved by Facilities ahead of time. Non-Law School Event Requests:  
If you are a member of a non-Law School group seeking to host an event within the Law Complex, please note that space within our facility is limited. Further, our primary mission of delivering the finest legal education available anywhere in the world takes precedence over any other proceedings. We occasionally allow non-Law School groups to host their events at one of our beautiful event spaces, if said event can offer a positive contribution to the Penn Law community. If you would like to submit a request, please fill out the form below and read our included guidelines for external events.
